How service exchange works
A service exchange means that both sides provide value to each other. You may offer accommodation, retreat stays, hotel nights, wellness services or experiences. We may provide photography, video, website, booking system setup, landing pages, automation or marketing services.
Before anything begins, we agree on what you provide, what we provide, the value of both sides, the timeline, practical details, what is included, what is not included and how the cooperation is documented.
This is a B2B cooperation
Bookable Brand is designed mainly for business-to-business cooperation. Both sides are responsible for providing correct business and tax details, including company name, registered address, VAT number if applicable and invoice information.
If you are not sure how your side should handle accounting, we recommend checking with your accountant before confirming the exchange.
Accounting, VAT and invoicing
Service exchange still has a business value. Even if no cash payment is made, both sides may still need to issue invoices or document the transaction according to the rules of their own country.
In most cases, we agree on the service value, confirm what both sides provide, sign a written agreement, issue invoices where required, offset the agreed values and settle any difference or extra cost separately if needed.
Because we work internationally, VAT rules may differ depending on where your business is located. Bookable Brand does not provide legal, tax or accounting advice. Each business remains responsible for its own tax reporting and accounting obligations.
Written agreement and scope
Every approved service exchange is confirmed with a written agreement. The agreement may include business details, service description, exchange value, delivery timeline, accommodation or experience details, usage rights, cancellation terms, confidentiality, extra costs and payment terms if part of the project is paid in cash.
Before work begins, we define the scope clearly. If more work is needed later, we can agree on additional work separately.
Extra costs
Some projects may include extra costs that are not part of the basic service exchange. These can include travel, local transport, model fees, makeup, styling, props, paid software, advertising budget, translation review or extra project management.
If extra costs are needed, we agree on them before they are incurred. No surprise invoices.
Confidentiality, access and data protection
We respect private and commercial information shared with us. If we work on your website, booking system, email automation or other digital tools, we may need temporary access. Where possible, we prefer temporary user accounts, limited access rights, separate login credentials, two-factor authentication and access removal after the project is completed.
If we handle personal data during a project, we do it only for the purpose of delivering the agreed service. We do not sell your data and we do not use customer data for unrelated purposes.
Content usage rights
For photography and video projects, usage rights are agreed before production. Usually, the client receives the right to use final delivered content for their own website, social media, booking platforms, advertising and marketing.
Bookable Brand may ask for the right to use selected work in our portfolio, website, social media or case studies. If you do not want a project shown publicly, please tell us before the agreement is signed.
Cancellations and when exchange is not suitable
Plans can change. Accommodation, travel, weather, production and business schedules all affect service exchange projects. If something needs to be changed, both sides agree on a new plan in writing.
Not every project can be done as a service exchange. We may suggest a paid project instead if the location is too difficult to reach, the exchange value does not match the required work, the timeline is too short, the scope is too large or the project requires too many extra costs.
